This Refund Policy describes the terms under which E.C.S. — Environ Control Systems ("ECS", "we", "us") issues refunds for services, deposits and contracts.
Scope of Services
Our work includes HVAC design & consulting, equipment supply, installation & commissioning, repair & retrofit, energy optimization and Annual Maintenance Contracts (AMC).
Consultation & Site Visit
Initial consultations and site visits are typically complimentary or are billed in advance. Where billed, fees are non-refundable once the visit or consultation has been delivered.
Equipment Supply
- Special-order, custom-configured or imported equipment is non-refundable once placed with the manufacturer.
- Standard stock equipment may be returned within 7 days of delivery, unopened and unused, subject to restocking charges of up to 20%.
- Manufacturer warranty claims are handled per the applicable brand warranty.
Installation & Project Contracts
- Project advance payments are adjusted against work executed and are not separately refundable once mobilization has begun.
- Cancellation after mobilization is subject to recovery of costs already incurred (engineering, procurement, labour, mobilization).
- Disputes regarding workmanship are addressed under the contract warranty before any refund consideration.
AMC & Maintenance Contracts
- AMCs may be cancelled with 30 days' written notice. Refund of the unused portion is calculated on a pro-rata basis, less visits already performed and administrative charges.
- Emergency call-out and breakdown service charges are non-refundable once the service has been attended.
How to Request a Refund
Email info@ecsplanet.com with your invoice/contract reference, reason for the request and supporting documentation. We will acknowledge within 3 business days and respond with a resolution within 15 business days.
Mode of Refund
Approved refunds are made to the original payment method or by bank transfer within 7–14 business days of approval, subject to bank processing times.
